Who is responsible
Your community manages local membership, boundary groups, incidents, water points, and alert recipients. It is responsible for deciding how personal information is used for those community operations.
Community Fire Platform Operator provides and supports the platform and processes information needed for hosting, security, notifications, subscriptions, and technical support. Registration number: Not provided.
Information we process
- Account and registration information, including name, email address, mobile number, role, community membership, and administrator approvals.
- Precise location when you choose a map position or ask the device to use your location for a fire report or water point.
- Incident content, including fire locations, descriptions, severity, comments, commander assignments, timestamps, status changes, and reporter reliability.
- Water-point names, types, notes, locations, and creator details.
- Device notification tokens, notification preferences, delivery status, session and security records, and limited technical diagnostics.
- Subscription, billing, support, and community usage information for customer administrators.
Why we process it
We process this information to provide community access, display and coordinate incidents, calculate report reliability, send configured alerts, navigate to reported locations, maintain operational records, secure accounts, support customers, administer subscriptions, and comply with legal obligations. Location access and push notifications are requested through your device and can be declined or disabled, although the related feature may then be unavailable.
Who receives information
Information is visible to authorised users and administrators according to their roles and linked boundary groups. We use service providers for hosting, Google Maps and Weather, Firebase Cloud Messaging, and email delivery. NASA FIRMS detections are public satellite data and do not receive your user reports from this application. WhatsApp sharing occurs only when a user chooses to share and is then governed by WhatsApp's own terms.
Some providers may process information outside South Africa. The community and platform operator must use appropriate contractual and security safeguards for cross-border processing.
Retention and security
Records are retained only while needed for community fire coordination, safety history, account administration, contractual obligations, dispute handling, and applicable law. Community administrators control the operational need for incident records. Authentication tokens expire or are revoked, invalid notification tokens are removed, and deleted production information may remain in protected backups for up to 14 days.
Reasonable technical and organisational safeguards include access controls, password hashing, encrypted provider credentials, HTTPS, isolated community databases, audit records, backups, and notification-token controls. No internet service can guarantee absolute security.
Your rights
Subject to POPIA and lawful recordkeeping requirements, you may ask whether personal information is held, request access or correction, object to certain processing, withdraw consent where consent is the basis, or request deletion or restriction. Start with your community administrator at your community administrator. Privacy matters concerning the platform can be sent to the Information Officer.
You may also complain to the Information Regulator of South Africa.
